Set up mail apps
Settings for iPhone Mail, Gmail, Outlook, Thunderbird and other mail apps — IMAP, POP3 and SMTP servers and ports, automatic set-up and calendars.
Every mailbox works in mail apps on phones and computers, such as iPhone Mail, the Gmail app, Outlook and Thunderbird. Most apps set themselves up from just your email address and password. If yours asks for the details, use the settings on this page.
Where: Control Panel › Email › Email accounts › Phone & Outlook setup tab
The tab shows the exact server names for your account. They are usually imap.yourdomain.com and
smtp.yourdomain.com, where yourdomain.com is your hosting provider's domain. The Overview
shows them too, under Connection details.
Settings
Incoming mail (IMAP)
| Setting | Value |
|---|---|
| Server | imap.yourdomain.com (as shown on the tab) |
| Port | 993 |
| Security | SSL/TLS |
| Username | your full email address, for example info@example.com |
| Password | the mailbox password |
IMAP keeps your mail on the server, so every device sees the same folders. Use it when you can.
Incoming mail (POP3)
POP3 also works, with the same server name and login:
| Setting | Value |
|---|---|
| Server | imap.yourdomain.com |
| Port | 995 |
| Security | SSL/TLS |
Note: POP3 usually downloads mail to one device. Your other devices and webmail then don't see the same folders.
Outgoing mail (SMTP)
| Setting | Value |
|---|---|
| Server | smtp.yourdomain.com (as shown on the tab) |
| Port | 587 with STARTTLS, or 465 with SSL/TLS |
| Login | required — the same username and password as incoming |
Automatic set-up
Mail apps can find the settings by themselves from your email address:
- Thunderbird and other apps that read the
autoconfigaddress (such as Apple Mail helpers, K-9 Mail and FairEmail) look upautoconfig.example.com. - Outlook uses the
autodiscoveraddress, found through the domain's_autodiscover._tcprecord.
These DNS records are added for you when email is switched on for a domain. If your domain's DNS is somewhere else, add
the autoconfig and autodiscover records there too (see DNS setup), or enter
the settings by hand.
Set up an app step by step
- Open the app and choose to add an email account.
- Enter your full email address and the mailbox password.
- If the app finds the settings, you are done.
- If it asks for them, choose IMAP and enter the incoming and outgoing settings above.
Tip: if the app can't sign in, check the password on Email accounts (Manage › New password), and make sure you use the full email address as the username.
Calendars and contacts
Every mailbox has a calendar and an address book, in webmail and on phones and computers, kept in step both ways (CalDAV / CardDAV). The tab shows the Server to use. The Username is your full email address and the Password is the mailbox password — or, with two-factor login on in webmail, an app password made in webmail under Settings → Calendar & contacts apps.
| Device | Where to add it |
|---|---|
| iPhone and iPad | Settings → Apps → Calendar → Calendar Accounts → Add Account → Other → Add CalDAV Account; for contacts the same under Contacts with Add CardDAV Account |
| Mac | System Settings → Internet Accounts → Add Other Account → CalDAV account (and CardDAV account), account type Manual |
| Android | install DAVx5, then Add account → Login with URL and user name, with the server shown |
| Thunderbird | New Calendar → On the Network, and New Address Book → Add CardDAV Address Book, with the server shown |
Most apps also find the server from the email address alone: the domain's DNS has _caldavs and _carddavs records for
it.
